AI for companies: the processes that hold each sector back

In industry, professional services, real estate, retail, hospitality or a multi-site organisation, the underlying problem is usually the same: documents, data and processes spread across systems that don't talk to each other. If routine work in reception, sales or bookings stops you serving every customer you could, Xarxalia hands it to MIA; there are examples by trade below.

Business sectors

Where each sector gets stuck, and what we build

These are common situations, not client case studies: every custom AI project starts with a Discovery phase on your organisation's own case.

Industry & B2B

The problem

Orders and customer specifications arrive by email, and someone re-keys them into the ERP. Product knowledge is split between documents and people, and every technical query waits until whoever knows the answer has a moment.

What we build

Agents that read orders and technical documentation, check them against the ERP and CRM, and leave the quote or record ready for a person to approve. Assistants that answer technical queries from the product documentation and pass anything undocumented to the team.

Professional services

The problem

The value lies in accumulated knowledge, but it sits in case files and inboxes that only the people who worked on them know how to find. Time that should go to clients goes on paperwork and repeat questions.

What we build

Assistants that draw on the organisation's internal knowledge: they search case files and documents and respect each person's permissions. Workflows that sort incoming work, prepare drafts and track the status of every case.

Real estate & assets

The problem

Every asset comes with contracts, deeds, invoices and technical reports spread across systems and suppliers. Getting an up-to-date view of the portfolio means pulling the data together by hand every time someone asks for it.

What we build

Systems that extract and classify information from each asset's documentation, match it against management data and make it searchable in one place. Portfolio analysis and alerts for expiry dates and incidents.

Retail & commerce

The problem

Enquiries come in through the website, by email, on WhatsApp and in the shop, and answering them properly needs stock and order data held in different systems. Keeping product listings and content up to date for every channel eats up hours the team could spend selling.

What we build

Customer service connected to the catalogue, stock and order status, handing over to a person when needed. Automated product content, plus recommendation and forecasting systems built on sales data.

Hospitality & travel

The problem

Bookings and enquiries arrive at all hours and in several languages, and a change of dates means rechecking availability and suppliers. As the operation grows, there's too much to coordinate by hand.

What we build

MIA Bookings and MIA Reception for day-to-day enquiries and, when the operation calls for it, integration with the booking system, CRM and billing. Agents that coordinate changes and escalate anything outside the rules to a person.

Complex organisations

The problem

Several sites, many systems and large volumes of documents and queries that each department handles its own way. The information exists, but finding it and passing it between departments holds up the work that depends on it.

What we build

Corporate assistants built on internal knowledge, with SSO sign-in and role-based permissions, and AI analysts that query several systems and prepare reports. Integration with ERP, CRM, Microsoft 365, Teams and databases via API, MCP and A2A.

MIA by sector

Every trade loses customers in its own way

MIA, Xarxalia's digital-employee product, is set up for each trade and takes on the repetitive work, so your team has time for more customers and for selling more.

Room for 4 the weekend of the 18th? With a dog.
Yes, Casa del Pou is free from the 17th to the 19th and dogs are welcome. Shall I book it?

MIA Bookings · Saturday 23:12

The situation

The enquiry arrives in the small hours or on a Saturday afternoon, and whoever could answer it is serving breakfast or changing the sheets. By the time it's answered the next day, the customer has booked somewhere else.

The situation

Sales cycles are long, many quotes stay open and the salesperson can't remember it all. The customer asks about a technical detail and the answer takes two days because someone has to check.

Frequently asked questions

What kind of AI projects does Xarxalia build for companies in each sector?

Xarxalia builds custom AI projects for industry and B2B, professional services, real estate and assets, retail and commerce, hospitality and travel, and complex organisations. The underlying problem is usually the same: documents, data and processes spread across systems that don't talk to each other. So it builds agents that read orders, case files or contracts and check them against the ERP and CRM, internal knowledge assistants that respect each person's permissions, and analysis and forecasting systems for the organisation's data. Every project starts with a Discovery phase on the specific case.

My sector isn't on this page. Does this work for me too?

Yes. The business sectors and the MIA trades on this page are only examples. If you need to cover a specific function, such as customer service, sales or bookings, Xarxalia sets MIA up around your business rather than a sector template, adjusting the channels, the questions, the hours and what it can decide without asking. If the problem is a whole process, several systems or large volumes of information, Xarxalia treats it as a custom AI project that starts with a Discovery phase.

I get very few enquiries. Is it worth it for me?

It depends more on when enquiries arrive than on how many you get. If a country house replies the next day, the guest has already booked somewhere else, and with low volume every lost enquiry matters more. MIA answers the one that comes in on Saturday night and you decide afterwards. If we think it isn't right for you yet, we'll say so.

I already have a CRM in place. Do I have to change it?

No. MIA works inside the CRM and the other tools you already use. Six of the seven digital employees operate on the CRM channel; MIA Voice doesn't, because it only takes phone calls. At an estate agent's, that means every new enquiry is qualified and every viewing triggers a follow-up two days later.

I work by appointment. Can it run my calendar?

Yes. MIA Bookings checks availability, proposes dates and handles changes, and it works on all six channels, calendar included. At an estate agent's, MIA Reception offers slots like this: “I have Thursday at 6pm or Friday at noon. Which do you prefer?” If it's a country house, dates are held until you confirm them.

I sell to companies, not to consumers. Isn't this for shops?

It's also for companies that sell to businesses. For industry and B2B, Xarxalia builds agents that read orders and technical documentation and check them against the ERP and CRM. In the manufacturer and distributor example, it's 19:08 on a Thursday and MIA Sales gives the lead time for 300 anodised units. With long sales cycles, MIA schedules a follow-up for every open quote and answers repeated technical questions with the right documentation.

There are four of us and nobody has time to maintain a new tool. Who runs it?

Xarxalia runs it. We set MIA up, train it on your business and operate it with you, always with human oversight. You don't have to administer any software, and the time MIA frees up goes to your customers. Each trade starts with one or two of the seven digital employees; in law and accountancy firms, MIA Reception and MIA Back office.
